Meeting Room AV Tender Checklist: What to Specify Before You Request Quotes
A tender checklist for meeting room audio: coverage outcomes, equipment schedules, acceptance criteria, samples, lead times and spares, written for buyers.

Meeting room audio tenders fail in two familiar ways: the document is so vague that every bidder assumes something different, or so rigid that it locks in a model list nobody can actually deliver. A good tender sits in between, specific about outcomes and acceptance while open about how suppliers achieve them. This checklist covers the audio side of a meeting room tender, item by item.
State the outcome per room, not just the equipment list
Start each room with a plain-language outcome: every seat hears the presenter clearly, calls sound natural at both ends, and the system works without a technician in the room. Note room size, ceiling type and seating layout, and how the room is actually used: huddle calls, training sessions, hybrid board meetings. Bidders can then propose appropriate coverage instead of quoting blind against a model number.
Equipment schedule: specify roles, allow equivalents
Name the role each product plays (conference speakers, amplification, cabling class) and either list your preferred models or state the standard an equivalent must meet. If you name models, say whether equivalents are permitted and what documentation a proposed equivalent must include. For conference rooms, our CS-05 (https://joyceaudio.com/products/cs-05-conference-speaker) and CS-10 (https://joyceaudio.com/products/cs-10-conference-speaker) conference speakers fill the speech-oriented role; the BG ultra-slim family (50 mm wall-mount, active/passive/100V versions) suits wall-mount background music zones (https://joyceaudio.com/products/bgseriesprofessionalloudspeaker).
Installation and acceptance criteria
Write down what done means: mounting heights and positions, cable routes and terminations, labeling, and an acceptance test with the actual equipment in the actual room, including a spoken-word test from the worst seat and a call test where the room is used for video conferencing. Agree who signs off acceptance and what happens when a criterion fails. These few lines head off many handover disputes.
Sample and demonstration clause
For flagship rooms, add a sample clause: one pair of the proposed speakers evaluated in a comparable room, or on site, before the full order is placed. It costs little and addresses a common failure mode: a speaker that looks right on paper but does not suit the room.
Commercial terms that projects actually need
Ask each bidder to state lead time against your installation window in writing, including any OEM branding or packaging requirements; confirm warranty terms and what spares are held or shipped within what timeframe; and require the pairing assumptions (speaker and amplifier ratings stated in the same terms) as part of the offer. Our OEM guide (https://joyceaudio.com/posts/oem-speaker-manufacturing-process-guide) explains what to expect from a supplier on branding and lead-time commitments.
Quick reference checklist
1) Outcome statement per room with size, ceiling and usage; 2) role-based equipment schedule with an equivalence clause; 3) preferred models plus acceptable-equivalent documentation requirements; 4) mounting positions, heights and cable routes; 5) acceptance test defined with sign-off owner and failure handling; 6) sample clause for flagship rooms; 7) lead time stated in writing against the installation window; 8) warranty and spares terms; 9) pairing assumptions (speaker and amplifier ratings in the same terms) required in the offer.
FAQ
How detailed should the model list be?
Specific enough that bidders price the same system, open enough that a qualified equivalent can be proposed. Role-based specification with an equivalence clause gives you both.
Who writes the acceptance test?
Usually the integrator proposes it and the buyer approves it before installation starts. Writing the test into the tender avoids negotiating it under time pressure at handover.
